IMPORTANT INFORMATION: DocuFlowr provides electronic document workflows. A separately accepted offer defines the scope and price of custom services. Using the enquiry form alone does not start a subscription or payment.
These terms govern access to and use of the DocuFlowr website, products and services. They apply to:
- visitors to the website;
- customers, account holders and their authorized users;
- senders, signers, witnesses and viewers participating in document workflows.

1. Provider and scope
The provider identified on this page operates the DocuFlowr website and document services from Singapore. These terms address website visitors, account holders, document senders, and the signers, witnesses and viewers participating in a workflow.
The service supports PDF preparation, sharing, electronic signing, status tracking and access to completed copies. The scope and fees for custom document management, archiving or workflows involving a notary are set out in a separately accepted offer.
2. Accounts, authority and access
Account holders must supply accurate, current information and act only for people or organizations they are authorized to represent. They must have the legal capacity and authority required to make the relevant commitment. Registration alone does not grant administrator permissions.
Account holders are responsible for protecting their credentials. Report suspected unauthorized access or a lost signing link to the provider and the relevant document sender. An email address, account or access token does not by itself constitute official identity verification.
3. Use rights and document ownership
Use of the service is limited to the permissions associated with the account and the separately agreed service. The DocuFlowr name, interface and software, and third-party materials, remain the property of their respective owners. Using the service does not transfer those rights.
Rights in uploaded documents remain with the uploader or original rights holder. The provider may process documents as needed for the requested storage, display, sharing, signing and related operation of the service. Uploading does not grant a general right to publish documents or use them in advertising.
4. Acceptable use
Only upload or share documents where you have the necessary rights and authority to process their contents. Impersonation, unauthorized signing, unsolicited bulk sending, malicious uploads and bypassing access restrictions are prohibited.
Users must not access another account or document without the appropriate permission. The parties handling a document are responsible for checking the legality of its contents, the transaction and the intended recipients.
5. Document workflows and recipient roles
The sender selects the PDF, recipients, roles, order and field positions. Every signer and witness needs a required signature field before the document can be activated. Incomplete preparation can be saved as a draft.
Signers and witnesses complete assigned fields and sign through a separate submission action. Viewers can access the latest copy through their individual link and do not sign. Selecting the witness role does not itself establish compliance with a statutory witnessing requirement.
Individual links grant recipient access. Senders must check recipient details, and links must be shared only with the authorized person.
6. Signing evidence and technical limits
The electronic signing workflow uses token-based access, completed fields, a signature image recorded on the PDF and a hash-chained event log. The signature event SHA-256 identifier relates to the input PDF, recipient, timestamp and that signer’s fields, including their positions and dimensions. A particular PDF version has a separate file checksum.
The signed output may freeze the original PDF form contents so that they cannot obscure the signature. The original upload and separately signed versions may be different files. Adding a later signature does not change an earlier signature event identifier.
These features do not by themselves provide a qualified electronic signature, qualified timestamp or notarization. Parties must check the formal, representation and identification requirements for their transaction. Archival workflows may include an administrative reference date; that date does not prove the digital operation occurred on that earlier day.
7. Trial and plans
New accounts receive a 45-day trial without providing a payment card. Trial expiry alone does not trigger an automatic charge. Recipients do not need a paid subscription to sign.
Expiry of a trial or approved access period restricts new document sends. It does not by itself automatically remove access to existing documents or prevent completion of ongoing signing workflows. Trial expiry alone does not delete documents.
8. Enquiries, fees and payment
Published plan prices are in USD, excluding applicable taxes. Final fees, billing periods, seat counts, usage allowances and service scope are established in the separately accepted offer or agreement.
Submitting a plan request or enquiry is not itself an order, subscription or payment obligation. Payment, automatic renewal or card charges may apply only under payment terms disclosed in advance and separately accepted. These terms do not restrict mandatory consumer, cancellation or refund rights.
9. Email invitations and receipts
Email sending requires configured SMTP and the appropriate sender permission. Choosing a plan does not override administrator approval restrictions on existing accounts or recipients. Signing requests and reminders can be initiated manually for authorized recipients awaiting signature.
Authorized uploaders, senders and viewers in new, non-archival workflows may receive automatic updates or receipts for supported events. A notification may contain a document link, timestamp and, for a signature, an event identifier.
Sending an email does not prove delivery, reading, identity or acceptance of a document. Parties must consider incorrect addresses, spam filtering and forwarded links. Creating an account is not blanket consent to marketing.
10. Personal data and confidential documents
The privacy notice describes the handling of personal data. For customer documents, controller and processor roles depend on the actual tasks and the customer agreement. Uploaders must have the necessary lawful basis and provide the required information to individuals.
Share a document only with the recipients and permissions necessary for its purpose. Do not publish confidential documents or signing links. Retention, export and erasure follow the processing purpose, customer agreement and applicable legal duties.
11. Custom and external services
Custom document management protocols and archiving systems require a separate service scope and price. Notary workflows may support preparation and tracking; an authorized notary performs the notarial act under a separate agreement. Availability, identification and remote procedures depend on the country and document and require prior discussion.
The service may use hosting, email providers and external software resources. Related notices explain their data-processing implications. Linking to an external website does not amount to general approval of its contents or services.
12. Availability and responsibility
Maintenance, network faults, provider issues or other outages may affect service operation. A particular service level or response time applies only where separately agreed. Customers should also retain appropriately protected copies of business-critical documents.
The service is a technical tool for document workflows, not legal advice on a transaction or a guarantee of acceptance in every country. Applicable law and the separately accepted agreement govern the parties’ responsibilities. These terms do not exclude liability, consumer rights or remedies that cannot lawfully be excluded.
13. Restrictions and account closure
The provider may restrict access in response to abuse, unauthorized use or security issues to the extent necessary to protect affected accounts and documents. Account closure and export requests can be sent to the published contact address.
Closing an account does not withdraw signatures already submitted or automatically remove lawful retention or evidence duties. Removing an item in the interface and physically erasing it from storage, logs or backups may be different processes.
14. Changes to these terms
Updated notices are published with a revision date. Material terms of an existing customer agreement can change only under that agreement’s change provisions and mandatory applicable law. A website update alone does not create a new payment obligation.
Updating these terms does not rewrite a completed PDF, its signature identifiers or historical audit records.
15. Complaints, applicable law and contact
The provider is a Singapore business. Singapore law governs these terms, subject to any valid variation in a separately accepted agreement and mandatory applicable law. Mandatory consumer and data-protection rights applicable by reason of the customer’s residence or transaction remain unaffected.
Send questions, complaints and account requests to the published business email address. Identify the relevant account or document and briefly describe the issue; do not send passwords or unnecessarily confidential documents. Contacting the provider does not restrict available regulatory or court remedies.
